How to upload resumes to a Job Drive, what the AI reads from each one, and how to use the four AI Ratings to build a shortlist.

Getting resumes into a drive

To add candidates to a Job Drive, navigate to Job Drives in the left sidebar and click the Resumes button on your chosen drive row. From the Resumes tab, click the + Add Resumes button to open the Upload Resumes dialog.

Upload rules and requirements:

  • File format: Resumes must be uploaded in PDF format. Other document file types are not accepted.
  • Batch limit: You can select and upload up to 50 PDF files at one time. If you have more than 50 resumes for a role, simply repeat the upload process for additional batches.
  • Credits: Each uploaded resume consumes 1 AI Evaluation Credit. Check your credit balance in the left sidebar before starting a large upload batch.
  • Screening context: Resumes are evaluated directly against the Job Description assigned to that specific Job Drive.

If you want to test the platform before uploading actual candidate resumes, use the Use Sample Resumes option when creating a new Job Drive to populate it with sample data.

What the AI reads from a resume

As soon as PDF resumes are uploaded, Jobdrive AI automatically reads and analyses each file against the linked Job Description.

The AI extracts key candidate information without manual data entry:

  • Contact Information — Candidate full name, email address, and phone number.
  • Experience Summary — Total years of experience and key role highlights surfaced in the Experience column.
  • AI Rating — An overall role match assessment comparing skills and background to the Job Description.

During processing, a live status in the left sidebar tracks how many resumes are currently being analysed. Analysis takes a few minutes for larger batches.

The four AI Ratings

Every candidate receives one of four colour-coded AI Ratings based on their alignment with the Job Description:

Rating What It Means
Excellent The resume closely matches the skills, experience, and qualifications in the Job Description. Strongest candidates for shortlisting.
Good Strong overall match with several relevant skills or experiences, though not as closely aligned as Excellent.
Average Shows some relevant experience or skills, but with noticeable gaps compared to the Job Description.
Poor Little to no alignment with the Job Description. Typically not a fit for the role.

Resume Rating or Interview Rating

Jobdrive maintains two distinct AI Ratings evaluated at different stages of the hiring process:

  • Resume Rating: Assessed when a resume is uploaded, comparing candidate qualifications and experience against the Job Description. Displayed in the Resumes tab.
  • Interview Rating: Assessed after a candidate completes their 20-question AI interview, evaluating their actual responses. Displayed in the Interviews tab and Interview Report.

Both ratings share the same scale (Excellent, Good, Average, Poor), but they are assessed independently on different inputs. A candidate with a Good Resume Rating can achieve an Excellent Interview Rating based on their interview performance.

Where ratings appear

AI Ratings appear across multiple locations in Jobdrive:

  • In the Resumes tab as colour-coded badges in the AI Rating column for each candidate.
  • In the Interviews tab, displaying the candidate Interview Rating once their interview is finished.
  • In the candidate full Interview Report under the AI Review section.
  • On the Dashboard under the Recent Interviews tab.

Searching and filtering candidates

The Resumes tab provides search and filtering tools to manage candidate lists of any size:

  • Search candidates: Type a candidate name into the search bar at the top of the tab to filter matching results in real time.
  • Filter by AI Rating: Click the AI Rating dropdown to view specific rating tiers (Excellent, Good, Average, Poor, or AI Rating to view all).

Search and filter work together simultaneously and only adjust the display view. They do not delete or modify candidate records.

Opening the full resume

To inspect a candidate original PDF resume document:

  1. Locate the candidate in the Resumes tab.
  2. Click the document icon in the Resume column of their row.
  3. A viewer window opens showing page thumbnails on the left and full page preview on the right.

Inside the viewer, use the + and – buttons to zoom, navigate pages via thumbnails, or click Download to save the PDF file to your device.

Using ratings to decide

Recommended workflow for making shortlisting decisions:

  1. Filter candidate list by Excellent and Good ratings first to review top match candidates.
  2. Review the Experience summary and open original resumes to validate qualifications.
  3. Select Interview Type (Text or Voice) and send interview invites to shortlisted candidates.
  4. Review Average or Poor rated candidates only if additional candidates are required.

Remember that AI Ratings are most accurate when your Job Description is detailed and specific. If ratings seem misaligned, update your Job Description for future uploads.
